Advocate Tip:  Activity Logs and their Purpose

Activity Logs are required for every advocate working a case. Activity logs help to document contact with parties in the case. It helps to record dates and types of contact for each case party, mileage, donations as well as record your involvement as a volunteer.

Log in and Passwords

Log in and passwords are specific to each advocate.  It is recommended that you select a password that will be easy to remember.  It is also a good idea to send your CASA Supervisor your Log in and Password so that he/she can place it in your file. In the event that you forget your password, you can then email your Supervisor and they can forward that information to you. 

Entries

Activity Logs are due the 5th of the following month and can be saved each day if desired.  It is best to set up a system for entering case activity that works for you; whether daily, weekly or bi weekly entries. For advocates working on multiple cases, it is best to create a log for each separate case you are working when creating your logs. Enter the Cause Number and Case Name, and the select “Edit” to add activities. Be sure to enter all contact with case parties. If you do not see your type of contact on the drop down menu you can select “Other” and enter the type of contact.  Remember that the system does not allow you to edit an entry that has already been inputted. You will need to delete the entry and re-enter the information.

Donations and mileage:

Remember to enter all donations and mileage in order to help document miles driven and money that is used on your CASA kids or CASA cases. Although these miles and donations will not be reimbursed they help to track this information for our funders. At the end of the year you have the option to create a full report for your tax purposes. This can be done by selecting “Reports”, highlighting all months and then selecting the year and “Submit”. This will generate an entire report of all your volunteer activities, miles, and donations.
